Job Description

  • Ensuring the smooth function of the CEO’s office in Cyprus and assisting other teams in other countries
  • Providing front line reception cover and over the telephone customer service as and when required
  • To handle sensitive and/or confidential information and/or documentation with appropriate discretion and regard
  • Effectively organise meetings and events and manage the CEO calendar as and when required
  • Arrange travel and related tasks such as accommodation
  • Preparation of ad hoc reports or minutes of meetings
  • Provide a high quality, confidential and wide-ranging PA support service to consistently meet the specified needs and expectations of the CEO
  • Efficient management of the CEO diary in arrangement of meetings both internal and external and co-ordinate such functions between country offices for the CEO
  • General office administration duties to include, but not limited to filing, scanning, sending and receiving of faxes
  • To liaise with company external accountants and provide them with monthly information packages
  • To manage the office, including cleaning team, shopping, catering, stationary etc
  • Screening telephone, and paper communications, and prioritising, responding, redirecting or referring as appropriate
  • To plan and organize Board Meetings with very Senior participants.
  • Work with Managing Partner to draft agendas, manage calendars, organize logistics, participate in Board meetings and take clear and precise minutes. Convert minutes taken in proper statutory format in precise English and present to MP for approval. Then collect comments from other Directors and compile final set of Minutes.

Candidate Profile

  • Excellent knowledge of Microsoft Office
  • Exceptional communication skills in both written and verbal form in English.
  • The ability to grasp, synthesise and document complex discussions, in a precise manner.
  • Working knowledge of Greek needed
  • Ability to work both independently and as part of a team
  • Prepared to work out of office hours when required
  • Proven organisational and time management skills
  • Strong ability to prioritise tasks and meet deadlines
  • Excellent interpersonal skills

Goals of the Position

  • To support the office of the Managing Partner and complete all corresponding tasks in an accurate, neat and professional manner, while ensuring attention to detail is displayed and follow up is conducted thoroughly
  • To assist in meeting organisational goals by meeting deadlines, assuming ownership, scheduling time, prioritising tasks and complying with the organisation’s information requirements
  • To work remotely in a supportive function as part of the CEO’s office in Cyprus with other teams in other countries
  • To support the office of the MP in his multifaceted role as a Chairman of several Bank of Cyprus group companies and coordinate with the management teams of those companies.
  • To adhere to company policies and procedures at all times. Absolute confidentiality is key.
